Acumatica or Business Central: how a Dynamics GP company should choose

Both are good systems and both are common next steps from GP. The choice usually comes down to pricing model, account structure, multiple companies, industry fit and how you want to move your data.

Most GP companies we talk to end up choosing between Acumatica and Dynamics 365 Business Central. We implement both, and neither is the right answer for everyone. These are the differences that usually decide it.

Pricing model

Business Central is licensed per named user, with full users and lower-cost team members for people who mostly look things up and approve. Acumatica is priced by the resources and modules you use, with unlimited users.

That difference matters more than people expect. If you have a small finance team and few occasional users, Business Central is often less expensive. If you want warehouse staff, project managers, approvers and executives all in the system, Acumatica's model usually wins. Price both with your real headcount, including the people who only need to see or approve things.

Account structure

GP uses segmented account numbers, such as 100-4100-20 for division, main account and department. Acumatica keeps a similar idea: an account plus a segmented subaccount, so a GP chart of accounts usually maps across with a familiar shape. Business Central uses a main account plus dimensions, which is flexible and powerful but a different way of thinking. Neither is wrong. It does change how much your reports and your team's habits need to change.

Multiple companies

In GP, each company is its own database. Business Central keeps companies separate within one environment and handles intercompany transactions between them. Acumatica can hold multiple companies and branches in one tenant, with inter-branch and intercompany posting and consolidated reporting built in. If you run several entities that share a chart of accounts and people, look closely at how each system handles that day to day.

Industry fit

  • Construction and project-based businesses: Acumatica's Construction Edition and project accounting are a strong fit.
  • Distribution and manufacturing: both are capable. The details of your warehouse, lot and serial tracking, and production process decide it.
  • Companies built around Microsoft 365: Business Central's ties to Outlook, Excel, Teams and the Power Platform are a real advantage.

Moving the data

Business Central has a Microsoft migration tool for GP. It moves the chart of accounts, customers, vendors, items, open transactions and summarized general ledger history, with an optional snapshot of detailed history kept for reference. For Acumatica, data moves through import scenarios. We use templates built from our own GP-to-Acumatica projects, so conversion and reconciliation start from a proven base.

In both cases the tool is the easy part. The work is in deciding the new account structure, what replaces each GP add-on, and which reports to rebuild.

Customization and add-ons

Business Central is extended with apps from Microsoft AppSource and custom extensions. Acumatica is extended with customization projects and its own marketplace. List every GP add-on you use and check whether the new system covers it natively, through an add-on, or not at all. This is where many budgets change.

AI

Both vendors now add AI features with every release. Business Central has agents that draft purchase invoices from vendor emails and sales quotes from customer requests, plus Copilot. Acumatica has AI Studio for building AI workflows, an AI assistant and anomaly detection. Useful features, but rarely the deciding factor yet.

How we help you decide

We run both systems against your own scenarios and a sample of your data, price them with your real user list over three to five years, and give you a written recommendation. Sometimes the answer is to stay on GP a little longer. If you want to start that conversation, write to us at info@pivotalridge.com.
